Litigation Paralegal

 Administrative Assistant (Litigation) The candidate provides comprehensive Administrative support in the Delivery of high-quality services to internal and external clients, exhibiting a commitment to integrity and excellence. Manages all Administrative functions for the team to which they are assigned and is ultimately accountable for all work Product delivered. The Administrative Assistant ensures that all work is performed by appropriately using the firm's resources, such as DPS, EDPS, Records, Office Services, etc. Responsibilities: Schedules and attends meetings and events both on and off site; coordinate Food and beverage service for on-site meetings; reserve conference rooms; and arrange all additional Logistics; schedules and coordinates meetings across multiple time zones; provides participants with pertin ent Logistics and materials; assists in making calls to attorneys and clients to set up meetings; manages calendars to include tracking key activities, deliverables, and matter deadlines; schedules appointments, reservations, conference calls, videoconferences; keeps Rolodex and online contacts updated with accurate contact information and notes; books flights, hotel accommodation and ground transportation; creating an itinerary to include contact information for all segments of Travel; Organizes and processes expenses by completing expense form for reimbursement of out-of-pocket expenses; etc.; assists with time Management: manages and books appointments for the group in a way that allows them to balance requirements of analytical time, communication and relationship loads; maintains current membership status on professional listservs, bar dues organizations, periodicals, etc.; maintains contact databases, keeps files in compliance, coordinates Logistics for visitors in the Office including vendors; builds relationships with key internal contacts to enable timely and effective execution of tasks and appropriate representation of the department; builds relationships with key external contacts to assist with execution of duties; creates PowerPoint presentations, Word documents, and Excel spreadsheets; organizes and maintains computer and paper based records and files; receives and routes US Mail as well as interoffice mail that is received; copies, collates and distributes documents; organizes and corrects computer-based records and files; organizes and prepares materials for use in presentations; once reimbursement is received, reconciles business related expenses to ensure payment/reimbursement is accurate/complete; assists with special research projects, including basic research on clients and matters using firm databases and online resources; compiling, assimilating and disseminating information; drafts, edits, revises and format documents, including presentations and confidential materials; ensures smooth work flow; make certain that materials go out in a timely manner through mail/overnight/ messenger. This includes addressing and packaging of materials to be sent out (i.e. US Mail, Federal Express, UPS, etc.); creates and executes a methodology for receiving, tracking, and handling Communications from incoming phone calls, emails, and visitors; answers phones with a professional demeanor, takes clear and concise messages, resolve as many inquires as possible and/ or redirect calls; provides telephone and General coverage for local Office business hours, Monday through Friday; enters time into time entry system; assists with client billing as directed; may process filings (electronic or physical) with state and federal courts as required by assigned attorney's practical; prepare drafts and revise Legal documents, reports, letters and memoranda; processes new client/matter opening requests; completes electronic new matter memorandum as directed; may draft engagement letter; and assists team with Administrative related to matters (e.g., preparing binders for closings or client meetings; pleadings updating databases; preparing notebooks, exhibits, and forms).

A Bachelor's degree required. The ideal candidate should have 2+ years of Legal experience (preferably supporting a litigator) and/or a Paralegal certificate. Should have demonstrated Customer Service skills, a proven ability to exercise good judgment and discretion, handle multiple demands with strong attention to detail, have excellent organizational skills, be creative and resourceful, exercise initiative, have strong analytical and mathematical skills, have a proven ability to work independently and with a team, have strong written and spoken business English, have advanced skills in Microsoft Office (Word, Excel, Access, PowerPoint), Outlook, database Management, and Project Management software, etc. Should have thorough knowledge of all firm and department-specific Administrative processes and procedures, Information Technology systems, research tools and a broad-based understanding of the clients, matters and associated practice areas. Should have 2+ years of experience as an Administrative Assistant in a professional Office environment (law firm environment preferred) supporting multiple people is preferred. Must have strong knowledge of Office procedures, grammar, punctuation, and spelling. Must possess the ability to work with sensitive and confidential information. Advanced skills in Microsoft Office (Word, Excel, Access, PowerPoint), Outlook, database Management, and Project Management software, etc needed.
